Top tips for choosing the right venue for your event

Are you looking for the perfect venue for a children’s party, baby shower, wedding reception or staff meeting?  No matter what the occasion, read on to find out how to find the location that ticks all the boxes. The search engine on our website is a good start to help you filter the venues that may be suitable, creating a shortlist of venues which you can then visit in person to make your final decision.

Is the venue suitable for your needs?

This seems obvious but it is important to be specific in articulating your requirements. Some venues have restrictions as to what type of event they hire their space(s) out for. Some specifically cater for children’s parties, funeral or wedding receptions. If you are holding a staff or business meeting you will want to ensure that the venue is in keeping with your corporate image. Will you be able to play amplified music? Do you want to use external caterers or prepare food on-site? Do you want your event to finish at a set hour or go on to later in the evening? Will your guests feel comfortable at the venue? Suitability of the venue is key to the success of your event and it is important to confirm your specific requirements with the venue before you put down that deposit.

It is important to choose a venue that is easily accessible by your guests, if it’s too much effort to get to you may find some people may not accept the invite or struggle to get to the party and back home. Especially for children’s parties or events for the elderly you will want to make it easy for people to get to the venue.  If people are likely to drive, consider whether there is appropriate parking available.


Will your preferred venue be available on the dates you need it? How flexible will it be if, for some reason, you need to change the date?  Do you require specific equipment? If so you need to confirm that this is available, too. What is the policy on cancellations or changes to the date?


Your requirements will depend on the type of event and the number of people attending. Will they be seated, in an auditorium style or around tables, and will the venue be able to cater for this? Can the layout be customised to meet your needs?


Can you afford the venue? It makes sense to have a budget and stick to it, although you need to balance the management of costs with your desire to find a venue that promises to help you make your event a success. You can always approach a venue about a possible discount; for example some venues offer different fees for commercial and non-profit users and children’s party packages. Make sure you discuss the costs for any extras, such as onsite catering or cleaning services. You don’t want any surprises when you settle the final bill.
